Jascia Occupational Health Limited collect and process data. We are committed to ensure that your privacy is protected. All the Data is collected and processed in accordance with the Data Protection Act 2018 (DPA) and General Data Protection Regulations (GDPR) 2018. 

The type of personal information/data we collect

Reason for collection 

  • To assess your fitness for work. 
  • To help us advice your employer about adjustments that may be required to support you in the workplace. 
  • For the purposes of anonymized research, audit or statistics. 
  • Assessing your health when you start a job. 
  • Preventing illnesses due to work activities. 
  • Assessing your health during or following a period of absence due to illness or an injury. 
  • Assessing a health issue that may be caused, or be exacerbated the workplace environment. 

Who Your Information Will Be Shared With 

  • The collected data will not be shared with third parties without your consent; except in circumstances where the law approves it or serious risk to life is anticipated. 
  • Health Surveillance information will be shared with the employer in line with the relevant regulation “According to the Health and Safety Executive (HSE), employers must keep health records for all workers under health surveillance. These records are legal records of the outcome of health surveillance and must be kept for at least the period specified in the relevant regulations, for example 40 years under the Control of Substances Hazardous to Health Regulations (COSHH)1. The records must contain information about the worker’s details, where they work, the hazards they have been exposed to and their fitness to continue to be exposed to those hazards1 

How we store your information  

Your information is securely stored via a cloud-based software system which is GDPR compliant.  

How long we keep the data for 

  • We keep your data for 6 years. We will then dispose your information after leaving employment or 75 years of age as per British Medical Association (BMA) guidelines. The data will be kept for no longer than is necessary. 

Your data protection rights 

Under data protection law, you have rights including: 

Your right of access - You have the right to ask us for copies of your personal information.  

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.  

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.  

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.  

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances. 

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances. 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at info@jasciaoh.co.uk if you wish to make a request.
